Every field should answer a management question. Which leads are waiting on us? Which leads are waiting on the client? Which leads have gone cold? Which source creates qualified conversations? Which handoffs fail between sales, operations, and partners? If a field does not answer a useful question, it will probably become clutter.
A practical workflow
Connect incoming lead sources to one intake path. Standardize notes from calls or WhatsApp into a short summary. Update status based on clear rules. Create the next task automatically. Send reminders when no action has happened. Show exceptions in a simple dashboard instead of asking managers to inspect every record manually.
This kind of workflow does not require a giant software project. It requires a clear operating model: who owns the lead, what counts as qualified, what happens next, and what should be visible to management. Once that is clear, the implementation can be scoped around the tools the team already uses.
